Setup guide

Get set up in about ten minutes

Install the plugin, activate your licence if you’ve bought a paid plan, then answer six short questions. Everything below happens inside your own WordPress site.

1

Before you start

You’ll need:

A WordPress site running WordPress 5.8 or later

PHP 7.4 or later (your host can confirm this)

An administrator login for that site

We recommend running your site on HTTPS. If it isn’t, the plugin will show a reminder in your WordPress admin, because it stores your financial records.

2

Install the plugin

1

Download the plugin. The free version is coming soon to WordPress.org. If you’ve bought Pro, download it from the link in your purchase email or the Freemius customer portal.

2

In your WordPress admin, go to Plugins → Add New → Upload Plugin.

3

Choose the zip file, click Install Now, then Activate Plugin.

Moving from Free to Pro? Install Pro the same way. When you activate it, the free version switches off automatically and you can delete it. Your records stay in your WordPress database.

3

Activate your licence (Pro only)

If you bought Pro, connect your licence so the Pro features switch on.

1

Find your licence key in your purchase email or the Freemius customer portal.

2

In your WordPress admin, go to Coffee & Numbers → Account.

3

Enter your licence key and activate it.

Your current plan is shown under Settings → Licence. On the Free plan you can skip this step.

4

Run the setup wizard

Click Coffee & Numbers in the left sidebar. The setup wizard opens the first time and has six steps:

1

Where are you based? — sets your tax rules, currency and filing deadlines.

2

Tell us about you — your name, trading name and what you do, used on your invoices and exports.

3

Are you tax registered? — your VAT or GST registration, number and quarter group.

4

Where do you work? — used for your home working claim.

5

Recurring expenses — switch on anything you pay regularly and enter the full amount.

6

Almost done — your accountant’s details and when your financial year starts, then Finish setup.

To change your country or financial year later, go to Settings → Country & tax year. Your records are re-sorted into the right tax years.

5

Finish your settings

These are optional, but worth a few minutes. All are under Settings:

Invoicing — your business address, contact details, bank details, logo and invoice numbering.

Accounting basis — cash or accrual, to match how you report to your tax authority.

VAT scheme — the schemes your country allows, such as cash accounting or the UK Flat Rate Scheme, if you’re VAT or GST registered.

Deadline reminders — the email address and timing for reminders before each tax deadline.
