## Who we are
Coffee and Numbers is a WordPress plugin created and operated by Neil Kenyon, trading as NJK Creative (“we,” “us,” “our”). If you have any questions about this policy or how your data is handled, you can contact us at **neil@njkcreative.com**.
We built Coffee and Numbers to help solo creatives — photographers, designers, architects, illustrators, videographers, writers and similar independent professionals — manage their invoicing, expenses and bookkeeping directly inside WordPress. This policy explains what information we collect, why, and what your rights are.
## What data we collect
**Data you enter into the plugin itself** — invoices, expense records, mileage logs, client names and amounts you record for your own bookkeeping. This data is stored in your own WordPress database, on your own hosting. We do not have access to it, and it never leaves your site unless a specific feature (like AI receipt scanning, below) requires it.
**Purchase and licensing data** — if you upgrade to Pro or WooCommerce Pro, your payment is processed by **Freemius**, our licensing and payments partner. Freemius collects your name, email address, and payment details to process the transaction and manage your license key. We do not see or store your card details — Freemius handles this in compliance with PCI-DSS payment security standards. Freemius’s own privacy policy governs how they handle this data; you can review it at freemius.com/privacy.
**AI receipt scanning (Pro and WooCommerce Pro only)** — if you use the AI receipt scanning feature, images of receipts you upload are sent to **Anthropic’s Claude API** for processing, so that expense details (amount, date, vendor) can be automatically extracted. This only happens when you actively use this feature — receipts are not scanned automatically or without your action. Anthropic processes this data under their own privacy and data-handling terms; you can review their policy at anthropic.com/privacy. We do not retain a copy of the receipt images ourselves beyond what’s needed to complete the scan.
**Website usage data** — as of this policy’s publication, coffeeandnumbers.com does not use analytics or tracking cookies beyond what’s strictly necessary for the site and Freemius checkout to function. If this changes in future (for example, if we add analytics or a newsletter signup), we’ll update this policy to reflect it before doing so.
## Why we collect this data
– To let you use the plugin’s core bookkeeping features on your own site.
– To process purchases and manage license keys via Freemius, so Pro features unlock correctly.
– To provide the optional AI receipt scanning feature, only when you choose to use it.
– To respond to support requests you send us directly.
## Who we share data with
We share data only with the third parties necessary to provide the service:
– **Freemius** — for payment processing and license management.
– **Anthropic (Claude API)** — only for receipt images you actively submit for AI scanning.
We do not sell your data, and we do not share it with anyone else for marketing or advertising purposes.
## Your rights (UK/EU GDPR and equivalent)
If you’re located in the UK, EU, or a jurisdiction with similar data protection laws, you have the right to:
– Ask what personal data we (or Freemius, on our behalf) hold about you.
– Ask for corrections to inaccurate data.
– Ask for your data to be deleted, where we’re not required to retain it (e.g. for tax/accounting records).
– Object to or restrict certain processing.
– Lodge a complaint with your local data protection authority — in the UK, this is the **Information Commissioner’s Office (ICO)**, ico.org.uk.
To exercise any of these rights regarding data we hold directly, contact **neil@njkcreative.com**. For data held by Freemius (such as payment records), you may also need to contact Freemius directly.
## International users
Coffee and Numbers is used by customers in the UK, US, Canada, Australia and South Africa. Because Freemius and Anthropic are the processors handling payment and AI-scanning data respectively, your data may be processed outside your home country as part of using those services. Both providers maintain their own compliance frameworks for international data transfers — see their respective privacy policies for details.
## Changes to this policy
We may update this policy from time to time, particularly as the plugin’s features evolve. We’ll update the “Last updated” date at the top of this page when we do. Significant changes will be noted on this page or communicated via the plugin’s admin dashboard where practical.
