# Terms of Service
**Coffee and Numbers** — a product by NJK Creative

## 1. Who these terms are between
These Terms of Service (“Terms”) are an agreement between you (the person or business using Coffee and Numbers) and Neil Kenyon, trading as NJK Creative (“we,” “us,” “our”), the creator and operator of the Coffee and Numbers WordPress plugin.
By downloading, installing, or using Coffee and Numbers, you agree to these Terms. If you don’t agree, please don’t use the plugin.
## 2. What Coffee and Numbers is
Coffee and Numbers is a WordPress plugin providing bookkeeping tools — invoicing, expense tracking, mileage logging, VAT/tax summaries, and related features — designed for solo creative professionals. It is offered in three tiers:
– **Free** — core bookkeeping features, free forever.
– **Pro** — adds invoicing, AI receipt scanning, and branded invoice PDFs, via paid subscription.
– **WooCommerce Pro** — adds WooCommerce order sync and related e-commerce accounting features, via paid subscription.
Paid tiers are billed and managed through **Freemius**, our third-party licensing and payments provider.
## 3. Your account and license
When you purchase a Pro or WooCommerce Pro license, you’re granted a license to use the plugin’s paid features, subject to Freemius’s licensing terms and the scope of the tier you purchased (e.g. number of sites, if applicable). License keys are managed through Freemius; if you lose access to your license, contact us or refer to your Freemius account.
You’re responsible for keeping your WordPress site, hosting environment, and any login credentials secure.
## 4. Acceptable use
You agree to use Coffee and Numbers only for lawful purposes, and not to:
– Attempt to reverse-engineer, resell, or redistribute the plugin outside the terms of your license.
– Use the plugin in a way that could damage, disable, or impair its functionality for other users.
– Misrepresent bookkeeping or financial data generated by the plugin in a fraudulent manner.
## 5. Your data and content
Any invoicing, expense, or financial data you enter into the plugin belongs to you. It’s stored on your own WordPress site and hosting — we do not access, store, or control it, except where a feature like AI receipt scanning requires sending specific data (a receipt image) to a third-party service at your request. ## 6. Not financial, tax, or legal advice
Coffee and Numbers is a bookkeeping tool, not a substitute for professional accounting, tax, or legal advice. VAT/tax summaries and calculations generated by the plugin are provided to help you organize your records, but you remain responsible for the accuracy of your own tax filings and financial decisions. We recommend consulting a qualified accountant for anything beyond basic recordkeeping, particularly around VAT returns and annual tax filings.
## 7. AI receipt scanning
The AI receipt scanning feature (Pro and WooCommerce Pro) uses Anthropic’s Claude API to extract data from receipt images you upload. This is an automated process and, like any AI tool, may occasionally misread or misinterpret a receipt. You’re responsible for reviewing and confirming any data extracted this way before relying on it for your records.
## 8. Payments, subscriptions, and cancellation
Paid tiers are billed on a recurring basis (monthly, unless otherwise stated) through Freemius. You can cancel your subscription at any time via your Freemius account or by contacting us; cancellation stops future billing but doesn’t automatically entitle you to a refund for the current billing period — see our Refund Policy for details.
## 9. Availability and changes to the service
We aim to keep Coffee and Numbers reliable and well-maintained, but as a plugin built and maintained by a small, independent developer, we can’t guarantee uninterrupted availability, and features may change, be added, or be discontinued over time. We’ll do our best to communicate significant changes in advance where practical.
## 10. Limitation of liability
Coffee and Numbers is provided “as is.” To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential damages arising from your use of the plugin, including but not limited to data loss, financial miscalculation, or business interruption. Nothing in these Terms excludes liability that cannot legally be excluded (such as liability for fraud or death/personal injury caused by negligence).
## 11. Changes to these Terms
We may update these Terms from time to time as the product evolves. We’ll update the “Last updated” date when changes are made. Continued use of the plugin after changes take effect constitutes acceptance of the updated Terms.
## 12. Governing law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
